Note on setting up QBO multi-currency: You can use CastleFX without linking to QuickBooks, using the platform directly. Linking to QuickBooks requires QuickBooks Online Essentials or higher, inactivates the QuickBooks Cash Flow Planner, and is not compatible with QuickBooks Bill Pay, QuickBooks Payments, or a connected QuickBooks Commerce account.
Note on receivables: If you receive foreign payments from customers, we include a guided setup for recording those accurately in QuickBooks. See our step-by-step receivables guide, or ask us during onboarding.

Depending on your company structure, you may need the following.
- Business registration or incorporation documents
- Photo ID for signing authorities (driver’s license or equivalent)
- Full names and residential addresses of all 25%+ shareholders with ownership percentages
- Proof of ownership (business registration, Schedule 50, or letter from accountant/lawyer)
- Full names and residential addresses of directors
- Proof of current directors (if incorporated)
After Approval
- We’ll provide your online platform login credentials
- We’ll connect your CastleFX account to QuickBooks - transactions sync automatically from that point forward
- If you’d like to use Direct Debit / Pre-authorized Debit, we’ll send you a setup link
- Enter your payee banking details into the platform
